POSITION DESCRIPTION JOB TITLE: Incentives Administrator

Position Summary: The role of Incentives Administrator is critical to the day-to-day management of Eco Engineering’s utility incentive management process, including but not limited to rebate research, calculations, filings, scheduling, closeouts, and serving as the primary point of communication between utilities, third party service providers, and Eco Engineering team members. An effective Incentives Administrator keeps rebates on track and running smoothly by keeping all necessary parties up to speed on status, escalates issues as they are identified, and closes out rebates in a timely manner. This position requires a high attention to detail and accuracy as well as very clear and proactive communication skills. To perform these tasks, the Incentives Administrator must interface effectively with members of the Engineering, Operations, and Sales Departments as well as customers and vendors.

Primary Responsibilities:

1. Supporting the Engineering Department with utility incentive estimates, which includes:

  • Assist Project Development Engineers with obtaining utility rebate incentives and/or calculations for the purpose of quoting.
  • Identify the maximum incentives available to give Eco Engineering a competitive advantage on proposed projects.
  • Obtain pre-approval where needed with particular focus on “lock-in” funds opportunities.

2. Supporting the Operations Department with utility incentive processing and closeout, which includes:

  • Participate in internal Project Charter meetings where applicable.
  • Work with and support Project Managers with completing pre-approval and final applications on projects to obtain the maximum incentive.
  • Submit utility rebate application including any required documentation.
  • Schedule and coordinate pre-inspections with all applicable parties.
  • Track install progress to account for any scope changes requiring utility documentation.
  • Process completed utility application including scheduling and coordinating post-inspections with all applicable parties.
  • Track utility rebate payments to Eco Engineering or customer as required.
  • Communicate with all applicable parties throughout the utility rebate process escalating any issues as required to management.

3. Optimizing the overall Company incentive administration process, organizing for proactivity, and expanding for new services, which includes:

  • Serve as primary point of contact for third party providers involved in the delivery of the service.
  • Stay abreast of national utility rebate programs and become an expert in navigating these programs.
  • Assist the Sales Department by keeping them updated on changes in rebate programs.
  • Participate in utility outreach activities to ensure company awareness within utility and company familiarity with incentive programs.
  • Become knowledgeable of alternative incentives available (e.g., EPAct, ITC) for full set of Company services and devise initial plans to facilitate.
  • Ensure department manuals and process flowcharts are up to date, and continually improved, with incentive work processes.

Required Skills and Qualifications:

  • Experience in the lighting industry or a background with education in the lighting industry.
  • Basic understanding of utility incentive programs.
  • Excellent written and verbal communication skills.
  • A high level of attention to detail.
  • Excellent time management and organizational skills.
  • Self-starter that is capable of working remotely with minimal management in a flexible and ever-changing work environment.
  • Willingness to travel on a limited basis.
  • Knowledge of the Microsoft suite of products.
